Manage Schedule is a feature designed to simplify and streamline employee scheduling for managers. It provides an intuitive interface to create, view, and adjust shifts while ensuring compliance with organizational policies and labor laws. The feature includes tools for assigning shifts, managing employee availability, and resolving scheduling conflicts. By integrating real-time data and user-friendly workflows, Manage Schedule empowers managers to make informed decisions quickly, improving operational efficiency and employee satisfaction.
A platform used across multiple regions needed to comply with local labor laws, such as overtime restrictions, break rules, and holiday pay calculations. The existing scheduling feature lacked flexibility to adapt to these requirements.
To gain deeper insights into compliance and labor law challenges faced by users, I collaborated with customer success and professional services teams to understand how managers navigated the complexities of regional labor laws while using the Manage Schedule feature. Additionally, I spoke directly with managers on the floor to identify pain points in adhering to regulations such as overtime rules, rest period mandates, and shift length restrictions. These findings shaped design decisions to help streamline compliance processes, reduce manual errors, and provide clear guidance for managing schedules within legal boundaries.
Building on the insights gathered during research, the ideation process focused on addressing compliance-related pain points while enhancing usability. I worked with cross-functional teams to brainstorm solutions that would simplify adherence to regional labor laws, such as overtime thresholds, break schedules, and shift limits.
We explored features like automated warnings for rule violations, pre-configured templates for region-specific labor laws, and real-time compliance tracking dashboards. Prototyping sessions allowed us to refine these ideas, balancing flexibility for managers with clear guidelines to mitigate compliance risks. Collaborative design workshops ensured alignment across teams, fostering innovative solutions to support businesses in managing complex scheduling requirements effectively.
During the exploration phase, I analyzed industry trends and best practices to inform design decisions for the Manage Schedule feature. This included studying compliance workflows in other scheduling tools and identifying common UI patterns for labor law adherence.
Prototypes were created to test various approaches, such as dynamic notifications for compliance violations and modular templates for different geographic regulations. I collaborated closely with developers to refine these designs, ensuring that the solutions were technically feasible and scalable. Feedback from managers and stakeholders was integral during this phase, guiding iterations to ensure the final designs addressed key compliance challenges while maintaining ease of use.
Reflecting on the development of the Manage Schedule feature, I gained valuable insights into designing for complex, compliance-driven environments. One key learning was the importance of collaboration across teams, particularly with Customer Success and Professional Services, to fully understand the nuanced needs of different user groups.
I also learned the value of designing for flexibility—creating solutions that could adapt to evolving labor laws and unique business practices across regions. Balancing compliance requirements with user-centered design highlighted the need for clear communication and thoughtful prioritization to deliver a seamless experience.
